New River Account Information and Password Complexity Requirements
Since January 2021, New River has used Microsoft Office 365 to provide email (and the entire Office 365 suite of software) to all students and employees. Microsoft Office 365 email (and other services) are accessible through the College's portal (https://portal.newriver.edu). Once logged into the portal, students and employees may download a copy of the Microsoft Office 365 software suite onto personal computers. All college-owned computers in labs, classrooms, and issued to employees already have the Office suite installed.
Email accounts are created for all New River students and employees. The searchable online directory (People Search) contains all these email addresses and other public user contact information.
For employees, New River email accounts are active until the last day of employment. For students, New River email accounts are active as long as you are actively taking classes. If a student stops attending the College but doesn't graduate, we will periodically disable and then delete these accounts.
Mobile devices and computers can also be configured to access your New River email using the built-in mail applications on most devices (Mail for iOS and Gmail for Android) or you can download the Outlook app to your device and use it (get the configuration guide).
The server-side options (defaults) for email accounts include the following configuration:
- Users may reset their own passwords online using the Forgot Password link on the portal login page (video tutorial).
- The default limit for number of recipients is 500 (this means most folks can't send an email to the allstudents@newriver.edu group which has over 500 members).
- The maximum attachment size is limited to 150MB.
- New passwords must be strong passwords (see the Password Requirements below).
- All New River email messages are archived by our DataCove system and each user may access his or her individual email archive by clicking the link in the portal to your email archive (on the DataCove - more information).
Password Requirements
- Passwords must be a minimum of 12 characters.
- All passwords expire after 180 days (you will be notified in advance to reset your password).
- Not contain the user's account name or parts of the user's full name that exceed two consecutive characters.
- Not be one of 24 previously used passwords.
- Must contain characters from three of the following four categories:
- English uppercase characters (A through Z)
- English lowercase characters (a through z)
- Base 10 digits (0 through 9)
- Non-alphabetic characters (for example, !, $, #, %)

User Responsbilities:
- Use your New River email account only for New River business.
- Periodically empty your trash and purge deleted items (see steps to purge deleted items).
- Don't open suspicious emails, don't click the links in them, and don't open the attachments sent with them.
- Report suspicious emails and phishing attempts using the Phish Alert Button in the Outlook menubar.
- Don't share your credentials with anyone, ever.
Client-side default configurations include the following settings:
- Draft messages are stored on the server.
- Sent messages are stored on the server.
- Junk messages are stored on the server.
- Deleted messages are moved to the Trash mailbox.
- Deleted messages are stored on the server and permanently erased when one week old.
- Copies of messages and their attachments are kept offline for viewing.
Departing faculty and staff receive the following email support:
- Email accounts are deactivated on the day of departure.
- Because New River emails are College property, we do not forward emails to personal accounts for departing employees. Instead, we typically recieve a request to forward these emails to another active employee or supervisor for 30 days.
New Accounts
- Are created when student admission data is entered into Banner by the admissions office.
- Are created for full-time employees when the personnel information is entered into Banner by the Human Resources office and an Employee Account Management request is sent to Technology Services.
